We are seeking an Office Administrator to support the Executive Assistant (EA) to the Chief Operating Officer (COO). As part of a dynamic administration department — led by the EA/Administrative Operations Manager and comprising three other talented administrators — you’ll play a pivotal role in ensuring our operations run smoothly and our people feel supported and empowered.

This is more than just an admin role. You will become a trusted partner across the business, helping coordinate key meetings and events, supporting inductions for new starters, and contributing to strategic projects and initiatives.

Key Responsibilities

  • Provide high-level administrative support to the EA, including preparing presentations, spreadsheets, documents, and meeting packs
  • Collate, prepare, scan, organise, and store information
  • Organise and schedule meetings, follow up on actions with SLT members, and ensure timely completion of tasks
  • Organise travel arrangements and appointments for Directors as needed
  • Support onboarding and induction activities for new starters, ensuring a welcoming and professional experience
  • Draft, circulate, and accurately record minutes from meetings
  • Act as a point of contact for internal teams and external stakeholders, ensuring smooth communication and professionalism at all times
  • Support internal events, training sessions, and company-wide activities
  • Track budgets, raise invoices and POs, liaise with suppliers, and assist with basic financial tasks
  • Support cross-departmental projects as required
  • Maintain confidentiality and discretion in handling sensitive information and executive-level communication

Ideal Candidate Profile

Experience

  • Proven background as an Office Administrator/Coordinator, Team Assistant, or Executive Assistant
  • Experience in a fast-paced environment supporting senior leaders

Skills

  • Strong organisational and planning skills; able to manage multiple priorities with accuracy and efficiency
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent written and verbal communication skills with a professional and approachable manner
  • Confident in preparing reports, presentations, and professional documents
  • Financial administration experience (e.g., invoicing, budgeting) is advantageous
  • Event coordination experience desirable
  • Familiarity with modern office and collaborative tools is an advantage:
    • SAP for administrative and financial processes
    • Canva for designing visually appealing presentations and materials
    • Miro or Microsoft Planner for collaborative planning and brainstorming sessions
